SURVEY DATA MANAGEMENT PLAN

Benefit of Survey Participation

Shoreline Collaboratives’ aims to support organizations to make decisions that are informed by the experiences and perspectives of those most impacted. This value drives our research processes which aim to collect and analyze data in service of advancing the goals of organizations and communities that we work with.

Through A Future For Artists survey, artists who are eligible for the Sobey Art Award will inform the future of the award and direct SAF as to the most impactful ways to support Canadian visual artists.

Data Management Plan Purpose

A secure, appropriate and transparent process for collection, storage, and use of research data is a vital part of values-aligend practice and informed consent. The purpose of this Data Management Plan is to inform A Future for Artists survey participants of the following:

  1. The personal data we will collect;

  2. Use of collected data;

  3. Who has access to the data collected;

  4. How data is stored and protected;

  5. The rights of survey participants.

Data Management Details

1. Personal Data We Collect
Survey data is collected through secure survey software, Survey Hero. Survey Hero’s Privacy Policy is outlined here. Through visiting the survey site, some data may be collected and stored automatically. This may include:

  1. IPaddress;

  2. Hardware and software details; and

  3. Contentviewed.

In responding to the survey, participants choose to share additional information. This may include demographic and contact information.

2. How We Use Personal Data

Data collected through the survey will only be used for the purposes specified in this Data Management Plan. We will not use your data beyond what we disclose in this Data Management Plan.

The data we collect through the survey is used for the following purposes:

  1. To support the development of recommendations to inform the future of the Sobey Art Award.

  2. If contact information is shared by the participant, and permission is provided, we will provide email updates on the recommendations and future directions of the Sobey Art Award.

3. Who We Share Personal Data With

  1. RawData

    Raw survey data is the complete data set where each individual survey can be viewed. This includes all automatically collected data as well as all responses participants choose to share through the survey. Only Shoreline Collaboratives team members assigned to the project can access the raw data of survey participants.

  2. De-identified Data

    De-identified data are survey answers that have been stripped of any information that could identify the respondent. Data that has been de-identified will be shared with members of the A Future for Artists Steering Committee to support data analysis. Steering Committee members will see only the answers to individual questions, without demographic or contact information, and without linking answers between questions. Any component of the individual questions that may identify the respondent (e.g. name of organization, etc) will be stripped of the data before being viewed by the Steering Committee.

  3. AggregateData

    Aggregate data is data from multiple respondents or measurements combined to make statements. Aggregate data from this project will be made available to the Sobey Art Foundation staff and Board to guide their decision making about the future of the Sobey Art Award. Any direct quotes shared with the SAF will be stripped of any identifying information.

    The aggregate data in the form of a report, fact sheets, or other communications may be shared with the public at the discretion of the SAF.

  4. OtherDisclosures

    We will not sell or share your data with other third parties.

4. How We Store and Protect Personal Data

Survey data will be stored in two locations:
A. IntheencrypteddatabasesusedbySurveyHero;
B. In a secure drive

Participants’ raw data will be held by Shoreline Collaboratives for 2 years after project completion, after which point it will be deleted.

All Shoreline Collaboratives team members who have access to data sign a contract with a confidentiality clause ensuring they follow data management best practices and do not share information obtained through raw data beyond the immediate team. Any breach of contract can result in termination.

All Steering Committee members who have access to de-identified data will sign a confidentiality agreement.

While we take all reasonable precautions to ensure that participant’s data is secure and that participants are protected, there always remains the risk of harm. The Internet as a whole can be insecure at times and therefore we are unable to guarantee the security of participant data beyond what is reasonably practical.

5. How to Modify, Delete, or Challenge the Data Collected

If you would like to have your survey responses deleted or modified in any way, please contact our Data Management lead Erika Pulfer: erika@shorelinecollaboratives.com. In order for your data to be deleted, you must have either a) shared your email address at the end of the survey or b) provide the IP address from the computer you completed the survey from, along with the date and approximate time the survey was completed.

6. Amendments to this Data Management Plan

This Data Management Plan may be amended from time to time in order to reflect any changes to our data collection process. When we amend this Data Management Plan we will update the “effective date” at the bottom of this Plan. We recommend that any survey participants periodically review our Data Management Plan to ensure that they are notified of any updates.
